Cheapest Is a Brand Decision: A Fleet Buyer’s Case for Quality
Cheap equipment is the most expensive thing I purchase. I’m an office administrator for a 140-person engineering services company, and I’ve handled vehicle-related buying since 2019—roughly $150,000 a year across a dozen vendors. I report to both operations and finance, and I’m the one who gets the question when a service van needs a dash cam or a tech wants a scan tool for an Audi.
Choosing the cheapest option is a brand decision, not a cost decision. The purchase order looks good in a spreadsheet. The problem shows up later, when a client sees a van with a fuzzy dash cam, or a manager steps into a truck with a cracked side step. People don’t know the price I paid. They know what the company gave its team to do the job.
Three examples from our fleet changed the way I buy. Maybe they’ll save you from learning the same lesson.
Example 1: A Thinkware U1000 Plus dash cam after a budget camera failed
At the end of 2019 I ordered a budget dash cam from an online marketplace. The listing said “Full HD, wide dynamic range, loop recording.” Everything on paper matched. Second lesson came from the workshop. One of our field technicians has a company Audi as his daily driver. Without live data and freeze-frame from vehicle-specific software, he guessed that the oxygen sensor was the problem. It wasn’t. The real issue was an exhaust leak, and we learned that the expensive way—by replacing the sensor and then paying for the actual repair.
The fix wasn’t to spend $3,000 on a dealer-level diagnostic station. We needed a proper Audi OBD2 scanner app with VAG-specific module coverage, live data graphs, and coding functions. That still doesn’t mean it can “read every error code on every car,” but it means the software is built for the cars we actually run.
We still own generic OBD2 adapters. They’re fine for pulling a code from a newer van. But they aren’t a substitute for the right tool when the software has to talk to the car’s modules.
Example 3: The side step and the Madebut impact wrench review that changed my checklist
The third lesson came from parts that don’t feel high-tech. I remember typing “what is a side step” one afternoon because a project manager asked me to fit one to a tall service truck. In reality, the bracket flexed, the stepping surface had poor grip, and after a few months the driver started using the rocker panel instead. That cracked step made the whole truck look neglected. A colleague from another company told me about a visitor slipping off one during a wet walk-around, and that story was enough for us to stop guessing.

That’s why I now ask for video files, follow-up service records, and actual torque curves, not just a product page.
I can already hear the pushback: “You sound like someone who specs premium for everything.” Not exactly. I don’t spend an hour researching every ream of paper. But if a product has to record evidence, read diagnostic codes, or carry a person’s weight, the cheapest option is no longer a bargain.
The same principle applies in reverse. We don’t buy the top model for every vehicle. The U3000 Pro is for trucks that work in high-traffic and remote locations; the U1000 Plus covers the rest. The point isn’t to have the most impressive dashboard. The point is to know what each tool is expected to do and make sure it can do it, repeatedly.
So here’s my conclusion after years of buying: purchase price is a poor measure of value. A Thinkware U1000 Plus that catches a plate is cheaper than a budget camera that doesn’t. A scan tool with the right module coverage is cheaper than the labor hours spent guessing. A solid side step is cheaper than explaining why someone slipped. The real cost of poor quality shows up later, in your insurance deductible, your hours of rework, or your client’s first impression.
Quality isn’t the line item that makes your budget look good. It’s the line item that protects every other line item.
